Welcome to the **Spordle Referee Guide**!

 

This reference guide was created to help referees and linesmen become familiar with the **Spordle PLAY** platform. an intuitive solution dedicated to optimizing sports management. Whether you are in the preparation phase or in the middle of the season, this guide serves as your central resource for mastering the essential features required to carry out your duties.

 

The objective of this document is to provide you with complete autonomy on the platform by enabling you to:

- **Manage your assignments:** access your games in real time and confirm your availability.
- **Master your calendar:** view your up-to-date schedules and track the evolution of events.
- **Streamline communications:** interact effectively with organizers and other stakeholders.

 

Beyond a simple user manual, this guide offers practical tips to maximize your productivity on the interface. By centralizing your work tools, Spordle PLAY aims to simplify your administrative processes so you can focus on what matters most: officiating excellence and the smooth running of the game.

## :spordle_page:  Registering for and completing mandatory training

 

 

To obtain the referee role in Spordle PLAY, you must hold a valid certification with your Federation.

- **Access condition:** Successfully completing the mandatory training courses (clinics) is the only way to generate a qualification in the HCR registry.
- **Synchronization:** Once the training is completed, the referee profile is automatically activated in Spordle PLAY (a short update delay is to be expected).
- **Technical constraint:** Without an up-to-date certification for the current season, the user cannot be assigned to games or access the management and compensation modules.

 

It is in the "Schedule" section of your Spordle account that you will access the clinics to complete and the links that will direct you to the training platforms (e.g. Hockey Canada Learning Lab).

## :spordle_page:  Accessing the Spordle PLAY platform (via your Spordle Account)

 

 

To access the platform, locate the **Admin** section at the bottom of your home page and click the **Manage** button in the Spordle PLAY block.

## :spordle_page:  Configuring your contacts and notifications

 

 

In the **My Profile** tab, under the **Contact Information** section, make sure you can see the following two indicators next to your email address:

- **The green checkmark: **Confirms that your email address is validated.
- **The black bell: **Indicates that notifications are enabled for this address.

If either of these elements is missing, click on your email address or on the bell to open the editing window:

- Primary: Make sure the "Primary" option is checked for your main address.
- Notifications: Enable the "Receive notifications" toggle.
- Language: Select your preferred language (French or English).

## :spordle_page:  Completing your Spordle PLAY profile

  

 

➡️  **Contact Information**

 

The first step is to verify and update your personal information to ensure the accuracy of your profile.

 

- **Primary email address:** make sure an address is set as primary (⭐ icon). This is the inbox where you will receive your assignments.
- **Alerts:** make sure the bell is not crossed out (🔔) to enable notifications for this address.
- Add a residential address: click <span style="color: #4c9aff">**+ ADD AN ADDRESS**</span> (optional).

> ℹ️ Only authorized administrators and organizations can see your information (name and date of birth).

 


Click on **Edit Profile** to update it.

- Your date of birth and city of origin
- Your height (in feet and inches) and your weight (in pounds)
- Your dominant hand

Use the toggle button to allow or disallow the publication of this data on the organization's website, then click <span style="color: #4c9aff">**SAVE**</span>.

## :spordle_page:  Indicate your availability and restrictions

 




Using the availability calendar, you can select the dates and time slots when you are available to officiate games, or indicate the time periods when you are not. Go to the settings to indicate your availability and your locations.

 

 

➡️  **Availability and Restrictions**

 

Here are the steps to follow to enter your availability and restrictions:

 

1. Click on Officials in the left vertical menu or on the "OFFICIALS" tab to the right of the "MY PROFILE" tab.

2. In the lower left section of the calendar, click on one of the two options to add availability dates:
  1. **Day:** for a single date or a continuous period.
  2. **Multiple:** to select several non-consecutive days.

 

 

> ℹ️ To select a continuous period, click on the first date, hold the **Shift **key, then click on the last date. You can use this option if your availability is the same for several consecutive days or weeks.

 

 

> ℹ️ In the example below, we used the **DAY** option to select consecutive days from April 18 to April 29, and the **MULTIPLE** option to select the days of May 1, 3, and 5.

3. Once the date selection is made, click on <span style="color: #4c9aff">**+ ADD AVAILABILITY**</span>**.**
4. In the Add Time window, define your schedule:
  - **All day:** available without restriction.
  - **Before:** available until a specific time (e.g., before 6:00 PM).
  - **Between: **available during a specific time range (e.g., from 9:00 AM to 6:00 PM).
  - **After:** available from a specific time (e.g., after 12:00 PM).

5. Add an availability note that will appear in the game assignment panel during the selected period.
6. Click on <span style="color: #4c9aff">**ADD**</span>.
7. Then click on **SAVE FOR XX DATES** in the lower right section of the table.

 

 

> ⚠️ **Save your changes!**  
> ⚠️ Save your schedules before selecting new days to avoid losing your changes.

Your availability days will be marked with a green checkmark (✓). To modify them, select your dates and click on the **Pencil **icon.

It is also under the "Officials" tab, in the playing surfaces section, located at the bottom of the page, that you can define and limit your mobility perimeter. Without any action on your part, the assignment system considers you available for all listed locations.

 

> ⚠️ Please note that by default, the system configures your profile as available for all organizations to which you are affiliated.

> ℹ️ If you wish as an official to be added to another organization, you must contact them so that the assignor can add you to their officials list.

## :spordle_page:  View and Confirm Assignments

 

 

When your assignor assigns you a game, you receive a notification email. Simply click on the **View Assignment** button to accept or decline the proposed game.

Please note that this link only allows you to view the details of the game mentioned in this specific email.

Under **OFFICIALS **tab, the **Complete Assignments Schedule** card provides you with an overview of your activities. It displays all games assigned to you, whether they are accepted or pending a response.

Games you have accepted are marked with a **green checkmark**. If a response is still expected from you, an **exclamation mark** is displayed next to the game.

1. Click on the **Clipboard** icon marked with an **exclamation mark** on a game.
2. In the window that appears (containing the game details, namely the date, time, location, and organization responsible for the assignment), click on **DECLINE** or <span style="color: #4c9aff">**ACCEPT**</span>**.**

➡️ **Accept the Assignment**

 

In the Confirm Assignment window, click on <span style="color: #4c9aff">**ACCEPT**</span>. Adding a note is optional.

 

> ℹ️ Please note that the system does not allow you to reverse your decision and decline an accepted assignment. Once the assignment is accepted, you will not be able to accept others.

➡️  **Decline the Assignment**

 

In the **Decline Assignment** window, select one of the following option buttons:

- Decline the assignment due to unavailability/inability to attend
- Decline the assignment for another reason, but remain available.

 

Then enter the reason for the decline and click on **DECLINE**.

 

> ℹ️ Depending on the organization's settings, declining an assignment during an availability period may be restricted. By clicking on **DECLINE**, the following warning message may appear.

> ℹ️ Tracking your status depends on the type of change made to the game:
> ℹ️ 
> ℹ️ - **Game status change only: **Your personal status remains unchanged and stays "to be confirmed."
> ℹ️ - **Schedule or location change:** If the time (start or end) or playing surface is changed, your status is automatically reset. You must then confirm your assignment again

## :spordle_page:  Write and submit an incident report (if applicable)

 

 

In accordance with Hockey Québec regulations, an official must submit an incident report in Spordle Play immediately after the end of the game, ideally **within a maximum of 24 hours.**

This procedure is mandatory for any infraction resulting in a gross misconduct penalty, a game misconduct, a match penalty, or to report any exceptional circumstance that occurred during the game.

The accurate entry of this report is crucial, as it automatically triggers the disciplinary process and ensures the validity of suspensions within the system.

 

Here are the steps to follow to document and submit a game incident from your "Incident Report" dashboard:

 

1. Click on the blue <span style="color: #4c9aff">**+ Add**</span>** **button located at the top right of the screen to open the entry form.

2. Enter the logistical details of the game:
  1. **Division and Category:** Select the appropriate options using the dropdown menus.
  2. **Date and League:** Specify the time and context of the game.
  3. **Location and Game #: **Indicate the game location and official game number.
  4. **Note (optional):** Add any relevant contextual information.
3. Click <span style="color: #4c9aff">**Next**</span>.

4. Configure the two teams involved (Home Team and Visiting Team):
  1. Select the **Branch, Organization, **and **Team.**
  2. Select the names of the Coach and Manager. If a manager is not in the list, use the "Manager Not Listed" option and enter their name manually.
5. Click <span style="color: #4c9aff">**Next**</span>.

6. Confirm the identity of the officials present:
  1. Select the **Official Type** from the drop-down menu.
  2. Verify that your email address and phone number are up to date.
  3. Use the **Add Official** button to enter the other officials' information.
7. Click <span style="color: #4c9aff">**Next**</span>.

8. Fill out the incident form (e.g., Incident #1):
  1. **Player:** Select the team (Home/Visitor), then search for the player by name or jersey number.
  2. **Penalty:** Specify the Penalty Type, the specific infraction, and the time (period, minutes, seconds).
  3. **Description:** Write a factual and detailed account of the event.
  4. **Injury:** Check the "Injury Occurred" box if applicable.

 

> ℹ️ Note: You can click **Add Incident** if multiple events need to be reported.

 

9. Click <span style="color: #4c9aff">**Confirm**</span>.

10. Click one of the buttons in the confirmation window that appears:

- **Yes, I wish to submit the report: **To officially send the document to the organization.
- **No, I do not wish to submit the report:** If you wish to save a draft or exit without sending.
